Tax invoices filed as they print
Each invoice posts to CBMS at the moment it prints, which removed the evening filing job from the accountant's day.
Wholesale trader, Pokhara / IRD and CBMS integration
The problem
The trader issued tax invoices through the day and filed them to the IRD in the evening. Billing belonged to the counter, and filing belonged to the accountant.
The accountant's day ended with a job that added nothing: sending records the business had already created. On a heavy day it ran late, and any invoice changed after printing had to be found and explained.
What we built
We connected the trader's billing to the Central Billing Monitoring System through Sajilo Billing, so that filing is part of printing.
- Filed at print time. Each tax invoice posts to CBMS as it prints.
- Under the trader's own PAN. The records with the IRD are the trader's own, filed directly.
- One record, two copies. The customer's printed invoice and the filed record are created together from the same data.
How an invoice moves now
- The cashier scans the items and builds the bill.
- The total is shown with VAT and the Bikram Sambat date.
- Payment is taken.
- The invoice prints, and in the same action it posts to CBMS.
The counter staff did not have to learn a new step. Filing happens inside the print action they were already using.
Why print time matters
An invoice filed hours after it was printed can differ from the copy the customer holds. A late batch, an edit or a reprint is enough.
When printing and filing are one action, there is no interval for that to happen in. What the customer holds and what the IRD holds are the same record from the start.
What changed
The evening filing job is gone. The accountant's time now goes to reconciling payments and preparing returns from records that already agree with what has been filed.
In the accountant's words:
Filing to the IRD used to be its own evening job. Now the invoice goes to CBMS the moment it prints.
